Case Study: Jazz On The Lawn – Amplifying High School Jazz Talent Through Music and Culture

Introduction

Jazz On The Lawn launched in 2014 and hosted by St Joseph’s Marist College in Cape Town South Africa, is an annual outdoor music festival held on Heritage Day. The event celebrates South Africa’s rich musical heritage and serves as a platform to showcase emerging high school jazz talent from diverse socio-economic backgrounds. Over the years, Jazz On The Lawn has grown into a highly anticipated event, attracting thousands of patrons and featuring top musical talents like Mi-Casa, Lira, Jimmy Nevis, Judith Sephuma, Jimmy Dludlu, Jonathan Rubain and Don Veno, to name a few.

The event started out with about 400 patrons and at last count had an attendance in excess of 4000 patrons on the day.

The brief

Our team was entrusted with the comprehensive management of Jazz On The Lawn, including event logistics, health and safety protocols, artist management, media and partner relations, as well as branding and marketing. Our responsibilities also extended to designing the event logo, merchandise, vehicle branding, posters, brochures, canvas banners, and digital collateral for social media promotion.

Our role

As the event management and design team, our role encompassed various aspects of planning and execution:

  • Event Management: Booking sound equipment, hiring crew, and overseeing stage setup to ensure a seamless experience for performers and attendees.
  • Health & Safety: Implementing safety measures to ensure the well-being of all participants and spectators.
  • Artist Management: Coordinating with artists, managing schedules, and ensuring smooth performances.
  • Media and Partner Liaison: Cultivating relationships with media outlets and partners to maximize exposure and support for the event.
  • Branding and Design: Developing the event logo, brand identity, and collateral such as merchandise, vehicle branding, posters, and brochures.
  • Social Media Management: Creating engaging content and designs for digital platforms to promote the event and engage with the audience.
  • Marketing and Promotion: Strategising and executing marketing campaigns to drive attendance and awareness.
  • On-site Photography: Capturing memorable moments and highlights of the event to document its success and promote future iterations.

Challenges

  1. Scalability: Ensuring that the event infrastructure and logistics could accommodate the growing number of attendees while maintaining the quality of the experience.
  2. Safety Compliance: Adhering to health and safety regulations, especially with the increasing crowd size, to mitigate risks and ensure a secure environment for all participants.
  3. Artistic Diversity: Curating a lineup that represents a diverse range of musical styles and backgrounds to cater to the varied tastes of the audience.
  4. Community Engagement: Fostering community involvement and support to sustain the event’s growth and impact over the long term.

Approach and solutions

  1. Enhanced Event Infrastructure: Invested in upgrading sound equipment, stage setup, and facilities to accommodate the growing number of attendees and ensure optimal performance quality.
